Getting started

Watch: Getting started: how Bobb works, 42 seconds

Bobb finds the people who buy what you sell, writes each one a personal cold email in your voice, and sends within a daily budget you set. You step in when someone replies.

How it works

  • Tell Bobb about your business in Company brain. What you sell, who you target, how you sound and how you reply. Bobb writes every email and reply from it.
  • Bobb builds a lead list for each campaign. Building the list is free.
  • You approve the list. When a new campaign's list is ready, it shows under Action items > Ready to approve on the Cold email page. Click Approve and start sending.
  • By default Bobb sends a first email and two follow-ups (day 0, day 3 and day 7) on your send days, within your daily budget. Each email costs 8¢.
  • Replies land on the Cold email page. Interested replies are marked as warm leads. If you haven't answered a warm lead after about 8 hours, Bobb replies for you with your booking link (you can switch this off in Settings).

Before you approve your first campaign

These five checks take about 15 minutes and prevent the most common first-week regrets.

  • Fill in Company brain. Especially How you sound (tone, words to always and never use) and How you reply (your booking link).
  • Read the example email. Open the campaign and go to the Emails tab. Before anyone is emailed, it shows a first email written for an example lead, so you can check what Bobb says about your offer.
  • Set a small daily budget. Use the slider on the Cold email page or in Billing. The smallest is $5 a day, and you can raise it any day.
  • Decide what happens at $50. In Billing, choose whether to stop when your free credits run out (see Credits and billing).
  • Know where pause is. Settings, scroll to Sending, then Pause all sending. It pauses all your campaigns at once.

Once the first emails go out, check the names on the Leads tab (see Contacts and leads).

Sender setup, replies and notifications

Watch: Sender setup, replies and notifications, 37 seconds

Your cold emails go out from Bobb's warmed-up senders, which are set up for you during setup. You don't buy or warm up a domain, and your own domain's reputation is never at risk.

Replies

  • Reply automatically (Settings): when on, if you haven't answered a warm lead after about 8 hours, Bobb replies for you. Your own reply stops it. Other replies wait for you.
  • CC on replies (Settings): add an address to be copied on replies.
  • Test a reply (Company brain): type what a lead might say and see how Bobb would answer.

Never contact

In Settings > Never contact, add competitors, existing customers or anyone else off-limits, then click Block. Bobb never emails them. People who opt out are blocked automatically.

Notifications

In Settings > Notifications, choose which emails Bobb sends you, then click Save:

  • Warm leads: when someone replies with interest.
  • Replies that need you: when someone replies, again if they've waited 4 hours, and when a warm lead has waited two days.
  • Daily summary: one email each morning with yesterday's emails sent, warm leads and spend. Only on a day with emails sent or a new warm lead.

Team and send days

  • Team (Settings): click Invite to add people. Everyone has the same access, and one bill covers everyone.
  • Send days (Settings): pick the days Bobb sends cold email, then click Save send days. Days count in UTC.

Contacts and leads

Watch: Contacts and leads, 33 seconds

Bobb finds leads for each campaign from the targeting you set when you created it. You can also upload your own list of up to 30,000 leads at a time.

Who a campaign reaches

Open a campaign and go to Who it reaches to see its targeting: what you offer, roles, location and company size, must-haves and companies to skip. Click Edit to change it, then Save and re-run search. Keywords are set when the campaign is made and can't be changed. To reach a different group, click New campaign on the Cold email page.

Uploading your own list

Open the campaign, go to the Leads tab, and click Upload and start. Your CSV needs an email column. The other columns are optional but help Bobb write a better email.

ColumnRequired?Why it matters
emailYesWhere the email goes

Bobb skips anyone on your Never contact list and anyone who has opted out.

Leads with no name

Some leads Bobb finds come without a first name, and they show their email address instead of a name on the Leads tab. The Leads tab lists people once they've been emailed, so it's empty until your first emails go out. After that:

  • Open the Leads tab and see how many leads show an email address instead of a name.
  • Open the Emails tab. It shows the email for one of your leads, and Preview another lead shows the next one.
  • If a greeting looks wrong, pause sending (Settings, then Pause all sending). Email hello@trybobb.com with the campaign name, and we'll look at it.

Seeing your leads

The Leads tab shows the 100 most recently contacted leads, with filters for All, Contacted, Replied and Warm. For totals across the whole campaign, use the campaign table on the Cold email page, with the Today / Week / Month / Year / All time buttons above it.

Campaigns: read it, approve it, pause it

Watch: Campaigns: read it, approve it, pause it, 41 seconds

A campaign is one group of buyers plus the emails Bobb writes for them. Your campaigns are listed on the Cold email page with their status, emails sent, replies, warm leads, spend and cost per warm lead.

Reading what Bobb sends

  • On the Cold email page, click the campaign name.
  • Open the Emails tab. You'll see the first email and when the follow-ups go out. Before anyone is emailed, the first email is written for an example lead.
  • Once leads have been emailed, it shows a real lead. Click Preview another lead to see the email for someone else.

Changing what Bobb writes

Bobb writes a fresh email for each person, so there's no single script to edit. The wording comes from Company brain, which applies to all your campaigns:

  • How you sound: your tone, phrases to always use, and words to never use.
  • Proof: the clients you'd love more of.
  • How you reply: your booking link, reply rules and pricing.

Change a field and click Save. Who a campaign targets is on its Who it reaches tab (see Contacts and leads).

Approving a campaign

When a campaign's lead list is ready, it appears under Action items > Ready to approve on the Cold email page. Read the emails first, then click Approve and start sending. After that, Bobb sends on its own within your daily budget.

Pausing sending

  • Go to Settings and scroll to the bottom.
  • Under Sending, click Pause all sending.

This pauses all your campaigns at once. They show as On hold, and the Cold email page says "Sending is paused". To start again, click Resume sending in Settings or on the Cold email page.

To stop one campaign, set a budget for each campaign (Split by campaign on the Cold email page), then click ⋯ next to it and choose Stop campaign. Restart campaign starts it again. To stop one campaign for good, click ⋯ next to it and choose Remove campaign.

Daily budget

Set your daily budget with the slider on the Cold email page or in Billing. At $8 a day, Bobb sends about 100 emails each send day. The smallest budget is $5 a day; under $20 a day, Bobb sends in batches every few send days. Bobb splits the budget across your campaigns unless you split it yourself. Start small, read what went out, then raise it.

Credits and billing

Watch: Credits and billing, 33 seconds

You pay 8¢ for each email Bobb sends, and nothing else: no contract, no monthly fee. Building your lead list is free.

ItemCost
Each email sent8¢
Free credits when you add a card$50 in free credits (625 emails)
$8 a day budgetAbout 100 emails a day
Typical cost of one warm lead$10 to $40 (125 to 500 emails)

When the free credits run out

In Billing, until you start paying, there's a switch: "Stop when my free $50 runs out. Don’t charge me until I press Keep going."

  • On: we email you when you've used $40, and sending stops at $50. Press Keep going to continue at your daily budget, 8¢ an email, charged to your card.
  • Off: when the free credits run out, sending stops until Bobb's nightly check finds a valid card on file. Then Bobb starts again at your daily budget, 8¢ an email, charged to your card. Each send day, before sending starts, your card is charged up to your daily budget. Any sending those charges don't cover is charged at your renewal.

If a charge fails, sending pauses and we email you.

What's on the Billing page

What you've been billed this cycle, your daily budget, invoices, and your cards (Add card, Make default or Remove).

Guarantee: 3 warm leads in 48 hours from your $50 in free credits, when your daily budget is $25/day or more. If you get fewer, we add more credits until you do.

Credits spent on emails that went out wrong

For example, a broken greeting: email hello@trybobb.com with the campaign name, and we'll review it.
